Setting Up Instant AI Scheduling with Calendly

With our Calendly integration, your AI Receptionist can schedule appointments directly into your calendar no live agent or transfer needed. Follow these steps to enable AI scheduling with Calendly.


Note: Calendly scheduling integrations are only available with a paid Calendly plan.


Connecting your Calendly account

Before your AI Receptionist can book appointments via Calendly, you'll need to connect your Calendly account. Once connected, you'll see it listed under the Connected section on the Integrations page in your AI Receptionist dashboard. For step-by-step instructions, refer to this help article.



Preparing Calendly

These important tips will help you set your AI Receptionist up for success:

1. Use an event type link — not a landing page or single-use link

AI Receptionist needs a direct link to the event page in order to schedule successfully.


2. Make sure your event will work for all calls of that type

When scheduling is enabled, all qualified callers will be scheduled using the same booking link. Check that your event settings in Calendly are configured to accommodate this.


3. Simplify! Less friction = more business booked

Make it quick and easy for callers to schedule time with you by limiting the questions in your booking form to what's actually needed. Review your AI Receptionist intake instructions alongside your Calendly booking form fields to eliminate redundant questions.


4. Take advantage of Calendly Workflows

Automate email and text booking notifications, reminders, and follow-ups for you and your clients using Workflows in your Calendly account.



Enabling AI Scheduling with Calendly


Once you've integrated your accounts and prepared your Calendly event settings, now you're ready to update your AI Receptionist call instructions to start scheduling.


1. In your AI Receptionist Dashboard, navigate to the Instructions tab


2. Select the relevant Caller Type playbook (e.g., potential new clients or existing clients)


3. Scroll to the What should we do next section of the playbook


4. Choose Schedule an appointment


5. In the Choose service for scheduling dropdown, select Calendly


6. Paste your public Calendly event link into the Booking Page Link field

Note: AI Receptionist can only schedule using one event type per caller type. Using a booking link with multiple event options will result in no appointments scheduled.



Not sure which link to use? Head to the Scheduling Event Type page in your Calendly account and click "Copy link" for the event your AI Receptionist should use.


Your existing Calendly event settings will determine appointment duration and availability.



7. When you're finished with all edits for this playbook, click Save to put your changes into effect immediately.


Once your instructions are saved, you’ll see a confirmation message that your AI Receptionist is now enabled to schedule appointments using your Calendly link.


Now — let the bookings roll in!
